Max International Event Venue Regulations
These regulations apply to the booking and use of the Max International event venues (conference rooms, rooms for private parties, corporate events, weddings, christenings, etc.).
The conditions below are supplemented by the Accommodation Policy, the Restaurant Regulations, as well as by the general Terms and Conditions of Max International.
I. Event Types and Schedule
• Our venues can host a wide range of events: corporate functions, conferences, training sessions, private parties, anniversaries, weddings, christenings, receptions, etc., depending on the capacity and layout of each room.
• The standard event schedule runs until 23:00, with the possibility of an extension depending on the type of room, the neighbouring areas and other events taking place within the complex.
• For weddings or other parties occupying an entire building section / wing of the hotel, the schedule and noise conditions are established by written agreement with the organiser.
II. Booking, Contract and Deposit
• Event rooms are booked on the basis of a written request and an offer / order accepted by both parties.
• To confirm the booking, a deposit of 30% of the estimated value of the event is generally required.
• The deposit becomes non-refundable 14 days after payment, except where the contract provides otherwise.
• Cancellation of the event must be notified at least 30 days before the agreed date, in order to avoid additional costs.
• For events booked at very short notice (last-minute), the deposit and cancellation conditions may be more restrictive, so as to cover the risk of holding the room.
III. Organisation, Decorations and External Suppliers
• The organiser may bring their own decorations, within the limits of the space and in compliance with fire safety rules and the integrity of the room.
• Any change to the standard layout of the room (stage, additional lighting, audio-video equipment, elaborate decorations, etc.) must be agreed in advance with Max International.
• The organiser is responsible for coordinating external suppliers (DJ, bands, photographer, candy bar, low fog, indoor fireworks, etc.) and ensures that they comply with both the legislation in force and the internal regulations of the complex.
IV. Damage, Cleaning and Liability
• The organiser and/or the beneficiary of the event is responsible for any damage caused to the property and fittings of the room, whether directly by the guests or by their suppliers.
• Max International has the right to invoice the costs of repairs, replacements or special cleaning (for example, after the use of decorations that leave the room excessively dirty).
• In the event of inappropriate behaviour, vandalism or repeated failure to follow the staff's instructions, the event may be stopped or interrupted, with no refund of the amounts already paid, if the situation requires it for safety reasons.
V. Final Provisions
-
• The specific conditions for each event (menus, extended schedule, open bar, additional charges, etc.) are established through the offer and/or contract and prevail over the general provisions where they are more detailed.
• Max International reserves the right to amend these regulations; the updated version is available on the website or on request, at the time of booking.
